The Operations & IT Manager maintains the operational and technological systems needed agency-wide for employees to do their work, including but not limited to office equipment, telephones, email, and Information Technology (servers, software, hardware, and databases), and manages vendor relationships related to these systems. Provides in-house IT help desk support, technology-related onboarding of new employees, and is primary contact for agency’s external IT providers/contracts. Supervises the Data Management Specialist and internal client data systems. In collaboration with Directors and Specialist, ensures data quality and oversees data reporting for grants, internal planning, development, and other administrative purposes. Provides cross-training and as-needed support for agency administration and program Directors. Primary liaison to vendors for agency headquarters (cleaning, maintenance, keys, equipment, repairs, etc.).

This position regularly deals with confidential matters that require a high degree of professionalism in an extremely sensitive environment, and requires the ability to be flexible, work independently and with others, and prioritize to accomplish multiple simultaneous projects when needed.

Requirements:

Education and Training: Bachelor’s degree in computer science or computer information systems or a related degree required. Drivers license and clean driving record required (travel between sites is required for the position, with mileage reimbursement).

Job Related Experience: A minimum of 5 years of IT support experience is required. Extensive experience with Excel and Access databases. Ability to accurately run reports, query, filter, and generate data reports from databases and spreadsheets. Familiarity with tracking social service client data and outcomes preferred.

Specialized Skills: The ability to think logically and problem solve system issues. Attention to detail. A working knowledge of how software and operating systems function. An in depth understanding of software and IT equipment. Excellent listening and questioning skills, combined with the ability to interact confidently with employees and vendors to establish what the problem is and explain the solution. The ability to prioritize workload. Ability to assess each employee’s IT knowledge levels. Ability to present technical information in lay terms. Strong telephone, communication, and organizational skills required. Good time management skills and the ability to prioritize multiple demands and expectations are essential.

Cognitive Requirements: Ability to self-teach corrective and new skills from computer manuals, equipment manuals and training materials. Ability to perform math functions on at least a college graduate level with accuracy. Able to follow directions that are detailed and extensive in a step-by-step fashion. Willingness to learn new skills and cross-train others in a small office environment. Detail-oriented with strong math and writing skills. Able to design and implement new organizational or operational systems and improve office efficiency and consistency. Flexibility, initiative, and ability to multi-task desired.

Physical Requirements: Must be able to sit for long periods of time in an office environment. Able to type with manual dexterity for use of typical office equipment. Able to physically clean and maintain own office area.

Work Environment: Administrative offices: much time spent in public areas. Travel to all agency sites is required to manage IT infrastructure and meet with employees.
